Role Summary

The Leadership Administrative Partner to the Vice President of Communications will be critical to the operation of the Communications department, Communications Leadership Team, and Office of the Chief of Staff, Communications. In this role, your primary responsibilities are to support the Vice President of Communications by managing and freeing up their time. You will be a part of the Communications Leadership team and work as part of the Office of the Chief of Staff, Communications in collaboration with the Chief of Staff, Communications and the Project Manager, Communications.

This role will be based at or near a Rivian center of gravity: (Irvine, CA/Palo Alto, CA/Plymouth, MI/Normal, IL, Atlanta, GA) and report directly to the Chief of Staff, Communications.


Responsibilities

The essential functions of the position include, but are not limited to:

  • Protect and manage the time and calendar of the Vice President of Communications
  • Coordinate meeting logistics, including video conferencing, conference rooms, and all onsite logistics as needed
  • Coordinate travel for the Vice President of Communications, including flights, hotel reservations, and related travel reservations and expenses
  • Process and track all expenses for the Vice President of Communications
  • Build and maintain strong stakeholder relationships with executives and administrative staff across the organizations
  • Support the Chief of Staff in administrative operations, including logistics for quarterly Communications Leadership Team offsites
  • Support the Communications Leadership Team with administrative tasks, including meeting logistics, onsite logistics, and procurement (ordering and tracking supplies)
  • Support the Communications PMO (Project Management Office) with project logistics and administrative tasks

Qualifications

  • Bachelor’s degree or equivalent experience
  • 3+ years of experience in an administrative role, preferably in the tech industry and supporting senior leaders in a fast-paced environment
  • Curiosity for learning and contributing Communications work
  • Experience working in the Google Suite and/or across various different tools and platforms
  • Experience with basic accounting, invoice, and vendor management
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • The capacity to thrive in dynamic and ambiguous environments, while being flexible, collaborative, and reliable
  • Ability to follow quick and ambiguous instructions and deliver against them
  • Ability to travel across the country or to a Rivian center of gravity as needed


Pay Disclosure

Hourly Rate for California Based Applicants: $37.42 - $46.77(actual compensation will be determined based on experience, location, and other factors permitted by law).

Benefits Summary: Rivian provides robust medical/Rx, dental and vision insurance packages for full-time employees, their spouse or domestic partner, and children up to age 26. Coverage is effective on the first day of employment, and Rivian covers most of the premiums.
