Role Summary

Rivian is seeking a Senior Fleet Coordinator for our Marketing Fleet Operations. In this role, you will manage the entire lifecycle of fleet vehicle operations to support Rivian's marketing and special events. From strategic planning to on-the-ground execution, you will ensure seamless vehicle deployment for every event, helping to bring our brand to life and create memorable experiences for customers and partners.

You will work closely with Marketing and cross-functional teams to forecast needs, coordinate logistics, and meet the operational requirements for upcoming and future events. This role requires exceptional project management skills, attention to detail, and the ability to deliver consistent results across multiple complex initiatives. Your leadership will be crucial in supporting Rivian's marketing growth, enhancing our sales presence, and strengthening our brand reputation as we expand our product lineup.

The ideal candidate is a process-driven team player with effective communication skills, excellent attention to detail, agility, and a solution-driven approach. We are looking for someone who is collaborative, data-driven, and goal-oriented, with a drive to meet deadlines and strong organizational skills to prioritize tasks effectively. You will play a critical role in supporting our rapidly growing organization by challenging the status quo, developing processes, identifying and solving challenges, and coordinating cross-functional rollouts within the organization.

This position will support the Marketing Team leadership and will be highly cross-functional on a daily basis. Most of this role will be field-based, integrated into critical marketing events, as the single-threaded owner for all marketing vehicle needs.


Responsibilities

  • Organize the daily operations and management of its internal fleet of vehicles, including vehicles used for special events, service loaners, demo drives, and unique business cases
  • Serve as key player for setting schedules, prioritizing vehicle workflows, requesting resources, and coordinating work efforts with stakeholders to ensure on-time arrival
  • Lead the development of processes and systems that will be used across the fleet organization to improve efficiency, reduce costs, and increase operational effectiveness
  • Manage Vehicle requests for internal partners and communicate the needs frequently to Fleet team and stakeholders.
  • Develop and deliver effective reporting to provide visibility into fleet performance for senior leadership and improve outcomes
  • Manage accidents and insurance claims, related repairs, and ticketing administration
  • Provide fast-acting support of escalations to ensure customer satisfaction and operations readiness
  • Responsible for submitting/receiving NA Commercial Fleet vehicles to/from service and body shops, as necessary
  • Around the clock support of escalations to ensure customer satisfaction and operations readiness
  • Collaborate and build relationships with cross functional teams
  • Lead and execute periodic physical inventory audits, as well as partner with cross functional partners
  • Analyze data and present well-formatted, solution-based proposals
  • Train and mentor new-hire colleagues
  • Assist in various other tasks as needed to fully support Fleet Operations

Qualifications

  • Manage vehicle procurement for Rivian Marketing and Sales events, ensuring vehicles are available, high-quality, and ready
  • Work with internal teams to configure and secure vehicles that meet executive and event needs
  • Offer strategic advice for efficient and technically sound vehicle support at Marketing and Sales events
  • Define and manage vehicle use requirements from planning to post-event wrap-up.
  • Find cost-effective solutions to meet vehicle demand while maintaining quality and brand standards
  • Coordinate with fleet, logistics, and technical teams for flawless event execution.
  • Oversee event vehicle operations from start to finish, aligning with sales and marketing goals
  • Manage vendor partnerships for a seamless, high-quality event experience
  • Serve as the main contact across Sales, Marketing, Design, Engineering, Finance, and other stakeholders for strategy and execution alignment
  • Lead cross-functional meetings to ensure events meet scope, budget, and quality targets

This is What You'll Need:

  • 2+ years of experience in the automotive or technology sector, ideally within vehicle sales, marketing, or operations
  • Deep understanding of sales and marketing operations, including vehicle service, logistics, and event support
  • Proven success managing programs from initiation to execution, including process development, workflow creation, and specification management
  • Strong experience collaborating cross-functionally with internal teams (Engineering, Sales, Marketing, Finance) and external partners to deliver on strategic initiatives
  • In-depth expertise in automotive sales and marketing practices and trends
  • Exceptional communication and interpersonal skills, with the ability to influence and collaborate across diverse teams
  • Highly organized, detail-oriented, and committed to delivering quality results with a focus on continuous improvement
  • Bachelor’s degree in a related field (or equivalent experience) preferred
  • Experience in a startup or high-growth environment is a strong plus
  • Willingness to travel up to 75% globally to support Sales and Marketing operations
